OCLC PRODUCT OF THE
MONTH : ILLiad
RESOURCE SHARING MANAGEMENT SOFTWARE
Reduce resource-sharing paperwork and let your users track their own loan
requests with software that consolidates all ILL functions in one place.
The OCLC ILLiad Resource Sharing Management software provides a comprehensive
ILL management system to automate routine interlibrary loan functions. You save
time by managing all of your library's borrowing, lending and document delivery
through a single, Windows-based interface.
OCLC ILLiad features a seamless, integrated interface to both WorldCat and OCLC
ILL. Passport and the ILL Micro Enhancer are not required. Requests can be
searched in WorldCat, then produced on OCLC ILL within ILLiad. ILL updates and
request downloads are performed automatically through this seamless interface.
Library users can access and track their requests from a Web-based interface
that allows them to access their ILLiad accounts from wherever they have access
to the Internet and a Web browser. After completing an initial profile, users
need only key in their user ID and password. Profile information is
automatically inserted into their requests. Users can select the method and
location of delivery of requested materials. OCLC ILLiad supports all of your
library's delivery modes, including delivering electronic documents directly to
your users' desktops.
Statistics let you track your workflow in real time and quantify lender
performance. OCLC ILLiad generates detailed reports in real time that help you
efficiently track your workflow and keep your administrators up-to-date. Lending
reports allow borrowing institutions to view up-to-date tracking information
about requests sent through online systems.
OCLC ILLiad software was developed by the interlibrary loan staff at Virginia
Polytechnic Institute and State University, and has been expanded and further
enhanced by Atlas Systems, Inc., the primary developer for OCLC ILLiad. OCLC
ILLiad is the only ILL product created as a result of ILL staff review of the
entire ILL operation. The result is a superior product which encompasses every
action in the ILL process, producing a highly efficient and effective work
environment. This environment enhances customer service while significantly
reducing costs and staff workload.
Additional information can be found on the ILLiad web site at <http://www.oclc.org/illiad/>.

LINK TO COPYRIGHT CLEARANCE CENTER IN
FIRSTSEARCH STAFF VIEW
Link to Copyright Clearance Center will help improve resource sharing
workflow
To make the copyright permissions process more convenient for librarians, OCLC
and CCC have formed a partnership to provide direct access to the CCC's
copyright permissions services from OCLC FirstSearch databases. The initial link
connects library staff from bibliographic records and ILL request workforms to
the main Web page of the CCC. Increasing levels of integration will be phased in
over the next 10 months. The new functionality will assist library staff in the
U.S. with copyright compliance and paying royalty fees.
As the OCLC cooperative celebrates 25 years of resource sharing in 2004, OCLC is
planning changes to interlibrary loan that will help your library improve
efficiency and workflow. "New directions in sharing" is your source for the
latest news as OCLC ILL functionality migrates to the FirstSearch reference
service - <http://www.oclc.org/ill/migration/>.
A list of the recent ILL enhancements to FirstSearch staff view can be found at

OCLC ILL FUNCTIONALITY ENHANCED IN FIRSTSEARCH STAFF VIEW
FirstSearch Staff View Now Includes ILL Lending Functionality
The FirstSearch staff view has been enhanced to save library staff time and help
users obtain items more quickly with an improved, streamlined workflow. Library
staff can search for materials in FirstSearch and complete borrowing and lending
functions for ILL from within the FirstSearch interface.
New features include:
- complete lending capabilities
- A new look to the message file - now named Request Manager
- A new tutorial: <http://www5.oclc.org/downloads/tutorials/firstsearch/sv/rsbasics/intro/index.html>
OCLC ILL in FirstSearch
OCLC is currently in the process of integrating their ILL service into
FirstSearch. You will have access to many features in FirstSearch that are not
available in the current ILL interfaces. Over the next year, you'll hear about
many more changes designed to improve your workflow and service to your users.
All of this is leading up to the retirement of the current ILL interfaces -
Passport for ILL, ILL ME and ILL Web. OCLC is committed to providing at least
three months advance notice of this discontinuation. Specific dates have not
been selected, but OCLC's goal is to retire the current platforms sometime
between January 1, 2005 and June 30, 2005.
Direct access to ILL functionality is now available in the FirstSearch reference
service. A special "resource sharing staff view" allows you to create ILL
requests right from a FirstSearch resource citation.
The staff view is easy to activate and just as easy to use. If you haven't yet
tried this feature, I encourage you to contact your reference administrator and
ask for access to your FirstSearch account settings. Instructions for turning on
the resource sharing staff view in FirstSearch can be found in this quick start
guide - <http://www.oclc.org/ill/migration/quickstart_sharing_staffview.pdf>.
For up-to-date information about these changes and frequently asked questions
about ILL integration in FirstSearch, check out OCLC's New Directions in Sharing
web site at <http://www.oclc.org/info/newdirections/>.

TWO EASY WAYS TO SAVE TIME ON ILL
When your users initiate their own interlibrary loan requests directly from
FirstSearch, they enjoy convenient, fast self-service and you spend less time on
ILL activity. Turn on the link from FirstSearch to ILL, and you save time
because online request forms pass accurate information about the requestor and
the needed item-there are no handwritten forms to interpret.
Then save even more time with Direct Request, a feature that sends requests into
the OCLC ILL system without staff intervention. Lending profiles let you
designate which kinds of requests are automatically handled and which are moved
to your ILL review file.
More features that personalize ILL are on the way. Users will be able to
register their own FirstSearch account, with login and saved searches. And
library staff will be able to customize some areas of the ILL staff view in
FirstSearch.

CONNEXION CLIENT MACRO SESSION RECORDING
Macro gurus Harvey Hahn and Joel Hahn presented a training session, "Your
Passport to Connexion", over the Internet in early May. The live session was
recorded and is now available at no charge.
Harvey Hahn, Arlington Heights (Illinois) Memorial Library, and Joel Hahn, Niles
(Illinois) Public Library District, led this session for Passport macro users
who wish to move their macros to Connexion.
The migration necessitates recreating macros manually or re-recording them for
use with the client. Since the structure of Passport macros is different from
those used with the client, the information in this recorded session may help
you in this process.
Besides having some knowledge of Passport macros, we recommend that you look
over Lessons #1, 5 and 6 of Joel Hahn's Connexion macro lessons prior to viewing
the session - <http://users.rcn.com/aardy/oml/lessons/index.html>.
See the Connexion macro page for links to the recordings and other macro support
materials - <http://www.oclc.org/connexion/support/macros.htm>.

OCLC CONNEXION BROWSER ENHANCEMENTS
The OCLC Connexion Browser quarterly enhancement installation for June was
successfully installed on June 6. More details on the functionality
noted below can be found by reading the News item in Connexion titled
"2004-06 Connexion Browser Enhancements".
Review Files:
- Send your bibliographic and/or authority records to other institutions to
review, a particularly convenient feature if you are part of a consortium.
- Identify other OCLC institutions permitted to review bibliographic and/or
authority records through access to your save file.
Authority Searching Enhancements:
- Derived key searching is available, as is searching the authority file
using the ISSN and ISBN.
- These enhancements add more of the functionality of the older cataloging
systems into the Connexion environment.
Bibliographic Keyword Searching moving to Oracle:
- Bibliographic keyword searching has taken the first step to moving to the
Oracle platform. This installation introduces no new indexes, and should
be transparent to users except for some slightly larger results sets.
- This enhancement also brings the subject/title/contents (st) index closer
in line with the operation of most local systems.
URLs in field 856 created using Passport or CatME and viewed in
Connexion:
- Resolves the problem in which a URL in a record created using Passport or
CatME was missing when viewed in Connexion on the same day.
Connexion larger record size:
- Previously the system limited records to 50 occurrences of the same
variable field. Connexion now supports creating bibliographic records
without this limitation.
Bypass Active Records logoff warning:
- A new preference that allows you to bypass the Active Records logoff
warning and provides a faster system exit.
Display Holdings:
- Under Display Holdings, a bar will appear beneath the command lists on
the record screen, asking which level of holdings you wish to view. This
change allows you to obtain holdings displays via the keyboard only,
without using the mouse.
CatExpress LCCN searching:
- If searching by LCCN on the Express Basic Screen, you will need to use
the index label "nl:". No change is necessary if entering the LCCN on the
Advanced Search screen, and choosing LCCN as the search.

OCLC Digitization & Preservation |
COLORADO'S HISTORIC NEWSPAPER
COLLECTION
Colorado first state to provide a statewide and local view of historic
events and people
The Colorado State Library, the Colorado Digitization Program and the Colorado
Historical Society have partnered to create "Colorado's Historic Newspaper
Collection."
"For the first time, through the digitization of historic newspapers, Colorado's
Historic Newspaper Collection is able to provide students, educators, historians
and genealogists with full-text access to important resources that reveal the
history, politics, social and economic development of Colorado and the
surrounding region," said Lizbeth Bishoff, Vice President, OCLC Digital
Collection and Preservation Services.
The newspapers were digitized from the microfilm version of the papers owned by
the Colorado Historical Society. OCLC completed further processing using
software specifically designed for historic newspapers by Olive Software Inc. to
create the database.

RARE LEWIS AND CLARK JOURNALS AVAILABLE
ONLINE
Wisconsin Historical Society uses CONTENTdm to share rare Lewis and Clark
journals.
The Wisconsin Historical Society's "American Journeys" collection provides
students, teachers, and anyone interested in American history with 160 firsthand
accounts of history to supplement their educational experience. "American
Journeys" was originally created for students exploring the National History Day
2004 theme, "Exploration, Encounter & Exchange," but is finding audiences of all
ages around the globe.
"American Journeys" also contains nearly 4,000 pages of journals, reports and
illustrations from the Lewis and Clark expedition, including original
manuscripts. The bi-centennial of the famous expedition on May 4 only added to
the celebrity of the collection.
The Wisconsin Historical Society used CONTENTdm Digital Collection Management
Software, and worked with OCLC to combine
page images, electronic texts and metadata into an effective Web resource for
students.
"The flexibility with which we could customize the metadata for American
Journeys was very helpful. With CONTENTdm, we were able to do exactly what we
envisioned for our target audiences," said Michael Edmonds, Deputy Director,
Library-Archives Division, Wisconsin Historical Society.
Funded by the U.S. Institute of Museum & Library Services and by private donors,
"American Journeys" is a collaborative project of the Wisconsin Historical
Society and National History Day. "American Journeys" is used by roughly 600
unique visitors per day, from 70 different countries, and over half of the users
identify themselves as high school students or teachers.
