UPDATE YOUR SERIALS HOLDINGS DATA IN WORLDCAT FOR FREE
OCLC Local Data Record Updating provides automated batch processing that allows
libraries to maintain serials holdings information in WorldCat. Libraries
wishing to update their local data records can do so through OCLC Local Data
Record Updating at no charge through June 30, 2003.
What are LDRs?
Local Data Records (LDRs) describe your library's copy-specific holdings data.
They are attached to a serial's bibliographic record in WorldCat. They allow you
to let patrons know not just that you own a particular serial title, but
specifically what years and volumes you hold. LDR information is part of the
OCLC Union List Service.
Why should I update my LDRs?
OCLC has added LDR information to both the ILL Service and FirstSearch with
recent enhancements to both systems. Recognizing that these enhancements will
give greater visibility to libraries' local data records, OCLC is encouraging
libraries to update their local data record information.
LDRs in ILL
The "Lender Local Data Record (LDR)" enhancement was installed in the ILL
Service in November 2002. This enhancement adds the lender's LDR information
from the OCLC Union List service to all "Pending" requests in the ILL Web
Interface, Passport, ILLME, and ILLiad. The addition of local holdings
information to the lender screen allows lending libraries to quickly and
efficiently identify requests that can be immediately declined. This enhancement
supports quicker processing of new lending requests and improves turn-around
time.
How it works in ILL:
- ILL lenders will see their own institution's union list information with all
"Pending" requests.
- If the lender does not have local data information available, the field is
left blank.
- When the request is forwarded to the next lender in the string, the holdings
shown will be that lender's LDR.
LDRs in FirstSearch
In February 2003, holdings information as recorded in Local Data Records (LDRs)
in the OCLC Union List service was made accessible from within the WorldCat
database on the OCLC FirstSearch service. Users of WorldCat on FirstSearch see
union list data for their institution on the detailed record display, and for
other institutions when holdings are displayed from a WorldCat serial record. In
addition, clicking the LDR column heading on this screen will sort the entries
by LDR, making it easier to see the libraries that provide year and volume
holdings information.
Data is extracted directly from the Union List service, NOT from the Union Lists
of Periodicals Database on FirstSearch. Though the OCLC Union List service is
updated in real time, the holdings visible from WorldCat on FirstSearch are
updated every 24 to 72 hours. They are much more up-to-date than the FirstSearch
Union Lists database, which is updated twice annually.
Extending the availability of LDR data helps users more easily locate
information in the collections of their own and others' libraries, and gives
them better overall access to information sources contained in libraries'
physical collections.
How can I update my LDRs?
OCLC Local Data Record (LDR) Updating enables libraries to add, update or delete
copy-specific holdings data in OCLC's WorldCat through batch processing.
Why use LDR Updating?
- Allows you to update holdings information beyond the three-character OCLC
symbol in WorldCat without having to key the data in manually
- Allows staff at your library to spend time on other priority tasks
- Synchronizes holdings between your local system and OCLC
- Holdings information is made available to a wider audience for use in
interlibrary loan, union list, and reference services
Libraries wishing to update their LDRs can do so through OCLC LDR Updating
at no charge through June 2003 for data compliant with the MARC 21 Format for Holdings
Data (Concise Edition available on the Library of Congress website at <http://www.loc.gov/marc/holdings/echdhome.html>).
An evaluation fee of $300.00 is charged for patterned data submitted in non-MARC
formats. Libraries must request to have their holdings batch loaded before June
30, 2003 to take advantage of the promotion. A library may submit batch files on
a regular schedule of their choice, or update with one-time batch project and
then maintain LDRs online through the OCLC Union List service <http://www.oclc.org/oclc/menu/union.htm>.
Requirements for updating LDRs:
- All holdings records, regardless of format, must include the OCLC control
number of the bibliographic record to which they are attached.
- The institution must be able to supply all holdings records associated with a
specific bibliographic record. The LDR Updating process replaces all LDRs for a
bibliographic record with the whole set of holdings records sent. (e.g. If you
have 4 LDRs on one bibliographic record in WorldCat, but are changing only 1 of
the LDRs, you must send all 4. If you only send the 1 change, it will replace
all 4 of your LDRs currently attached to the bibliographic record, leaving only
that 1 LDR.)
- There must be only one holdings record per copy.
Libraries are no longer required to meet the MARC 21 Format for Holdings Data (MFHD)
standards to use the LDR Updating Service. Libraries may now submit records in
non-MARC formats as long as they contain "patterned data." "Patterned data"
consists of field descriptions and content and must be in one of the following
formats:
- Delimited data - fields and records are separated by a unique identifiable
character or series of characters (e.g., tab delimited files, Excel
spreadsheets, Access tables or text in columns).
- Labeled data - field descriptions immediately precede their content (e.g.
LOCATION: Main).
- Positional data - field descriptions and their content are related by record
position (e.g., fixed-length formatted records).

- Submit a Batchload Order form online at <https://www3.oclc.org/app/batchload_order/>.
- Send a file of records to OCLC. Libraries can send files via EDX, tape,

wishes to use FTP, they must complete an EDX Assessment form if they're not

FREE FIRSTSEARCH PROMOTIONAL TOOLKIT AVAILABLE
The updated FirstSearch promotional toolkit is available now at no charge! This
new set of promotional materials may be used to help your library's users better
understand the value of using the WorldCat database on the OCLC FirstSearch
service.

JANUARY 2003 ENHANCEMENTS
WORLDCAT
Availability of Union List Data from Serials Records
Holdings information as recorded in Local Data Records (LDRs) in the
OCLC Union List service is now accessible from within the WorldCat database on
the OCLC FirstSearch service. Users will see union list data for their
institution on the detailed record display, and for other institutions when
holdings are displayed from a WorldCat serial record. Though the OCLC Union List
service is updated in real time, the holdings visible from WorldCat on
FirstSearch will be updated every 24 to 72 hours. They will be much more
up-to-date than the FirstSearch Union Lists database, which is updated twice
annually. The default setting for the display of union list data in the
administrative module will be on. If an institution chooses to turn the display
of union list information off, no union list information for that symbol will
display to any FirstSearch users, including their own.
Link to Other FirstSearch Databases from WorldCat Detailed Records
WorldCat detailed records include new links to related information in the
following FirstSearch databases: Books In Print, Book Review Digest, CINAHL,
PAIS International, PapersFirst, and PsycINFO_1887. Other FirstSearch databases
will be linked to WorldCat in this way in the future. These links appear in an
area labeled "More About This In" that follows the "More Like This" area in the
detailed record display. In addition to the name of the database, a short
description of the type of information users can find if they follow the link
appears:
- Books In Print - Publication status and optional reviews
- Book Review Digest - Digests of and citations for book reviews
- CINAHL - Publisher URL information and dissertation abstracts
- PAIS International - Abstracts and publisher information
- PapersFirst - Papers within proceedings
- PsycINFO_1887 - Abstracts, chapter information and cited references
The library must provide access to both WorldCat and the linked database, but no
further action is required to activate these links, and they cannot be turned
off.
FIRSTSEARCH CONTENT
New OCLC FirstSearch Electronic Collections Online Journals
Nineteen new journals from nine publishers, including new publishers The Idea Group Inc.
and The Agricultural Institute of Canada, have been added to OCLC FirstSearch
Electronic Collections Online, bringing the online total to 4,375 journals
available. The new titles and their ISSNs are available at
<http://www2.oclc.org/oclc/fseco/index.asp>.
MLA Names File in MLA International Bibliography Thesaurus
Users of the MLA International Bibliography database thesaurus can now search
the MLA Names File. As in other FirstSearch thesauri and subject heading files,
users access the MLA Names File in the MLA thesaurus by clicking the Subjects
icon on the basic, advanced, or expert search screen, then typing in a word,
name or concept. The MLA Thesaurus supplies preferred term(s) for the search
concept, along with broader and narrower terms, that may be expanded. Additional
classification information for names, such as national literature and language,
is also provided. Clicking a hotlinked term automatically launches a search.
FIRSTSEARCH FUNCTIONALITY
Search Term Suggestions Available in All FirstSearch Databases
Typos or misspellings in search terms are a major cause of online search
failure. A new feature now available in all FirstSearch databases offers search
term suggestions when a search retrieves zero records, similar to what users see
in Amazon.com or Google. The search term suggestions increase the likelihood
that the user will get results. Suggested terms come from WorldCat and
applicable indexes in the database being searched, and hover text (visible in
Internet Explorer version 4.0 and above and in Netscape 6.0 and above) indicates
the number of records matching terms in the current database. For zero-hit
searches, when a term within the search is identified as having zero postings or
low postings (e.g., 5 or fewer postings) in a keyword, author, title, or subject
index, words that are "close" are suggested as possible replacements. When the
user accepts the suggestion and clicks the Search button, it counts as a new
search.
Related Entries Expanded to Include Reference Resources from the World Almanacs
Database
FirstSearch users can now view information from encyclopedia entries and other
reference sources from the World Almanacs database via the Find Related option
at the top of the results list. After users finish a search in any FirstSearch
database, they can click on the Reference Resources tab to view articles on
related topics in the Funk and Wagnalls New Encyclopedia and other resources
included in the World Almanacs database. Reference Resources replaces the
Encyclopedia Entries tab, which previously pulled from the World Book
Encyclopedia database that has been discontinued on FirstSearch. The option to
view related results (such as citations in WorldCat, ArticleFirst, Electronic
Collections Online and WilsonSelectPlus) displays only to those libraries that
have subscription or per-search access turned on for these databases. The option
to view related searches is turned on by default in the Interface Display
section of the FirstSearch administrative module.
FIRSTSEARCH CUSTOMIZATION
Patron Authentication Through NCIP
OCLC FirstSearch now allows libraries to authenticate users against their
existing patron circulation files using the NISO Circulation Interchange
Protocol (NCIP). There is no need for libraries to maintain additional patron
files to use NCIP. This feature can be set up in the FirstSearch administrative
module when a library has a local system capable of communicating using the NCIP
protocol. NOTE: Though OCLC is not aware of any local systems that have
implemented this capability yet, vendors are likely to adopt the NCIP protocol
in the near future, especially if they hear from the library community that they
want to buy systems that can use it. NCIP will let remote library users access
FirstSearch more easily by using their library barcode or other unique patron
number designated by their affiliated library. The NCIP patron authentication
feature does not replace any existing authentication methods for FirstSearch
(manual logon, IP address recognition, scripted access, IP referrer and Athens
authentication), but provides an additional method of authentication to a
library's FirstSearch account. This is the first feature OCLC has developed
based on NCIP, and OCLC will continue to work with NCIP to meet the needs of
users.
FEBRUARY 2003 ENHANCEMENTS
WORLDCAT
Find Items About Links to Other Works About Authors and Titles in WorldCat on
FirstSearch
New Find Items About links that lead to records for other works about the title
or author(s) of items retrieved in a search now appear in WorldCat detailed
records on the OCLC FirstSearch service. These links launch additional subject
searches for the title or author's name and can lead to records for works such
as criticism, biographies, autobiographies, collections of essays, etc. The
links provide a convenient way for users to expand their original searches and
locate related items of interest, as well as demonstrating the depth of WorldCat
to those less familiar with WorldCat and library collections. A click on any of
these links counts as a search.
Links to Essay and General Literature Index Database on FirstSearch from
WorldCat Detailed Records
Detailed records in WorldCat on the OCLC FirstSearch service include new links
that make it easy for users to get to related information contained in
anthologies indexed in the Essay and General Literature Index database. These
links will appear in the area labeled "More About This In" that follows the
"More Like This" area in the detailed record display. The links display when no
table of contents data is present in the WorldCat record, if the library
provides access to both WorldCat and the Essay and General Literature Index
database. No further action is required to activate these links, which cannot be
turned off. Clicking a link counts as a search, as does further searching done
in the linked Essay and General Literature Index database.
Holdings Display Enhancements
Names, locations, and OCLC symbols of the user's home library and of libraries
that make up custom groups set up by the home library in the FirstSearch
administrative module are now highlighted with colored text and the My Library
or My Library Group icon in the holdings display. If it is among the holding
libraries, the user's home library's name appears at the top of the list. A new
icon placed next to their home library's name in the holdings display lets users
jump straight to their library's OPAC to check on local availability of items
they find in their searches, if the library has set the link to their OPAC
either through http linking or Z39.50. These enhancements help users easily see
that their library and/or affiliated libraries own an item, making local
collections more visible, and they can more readily see the shelf status of an
item.
Union List Data Now Visible on "Display All Libraries" Holdings Screens and from
Serials Records for Libraries with Z39.50 Access
Holdings information as recorded in Local Data Records (LDRs) in the OCLC Union
List service is now accessible from the "Display All Libraries" holdings screen
for all users of WorldCat on FirstSearch, as well as on the initial holdings
screen. In addition, clicking the LDR column heading on this screen will sort
the entries by LDR, making it easier to see the libraries that provide year and
volume holdings information. Users of libraries that access FirstSearch via the
Z39.50 protocol can see union list data for their institution on the detailed
record display, and for other institutions when holdings are displayed from a
WorldCat serial record. Extending the availability of LDR data helps users more
easily locate information in the collections of their own and others' libraries,
and gives them better overall access to information sources contained in
libraries' physical collections.

FIRSTSEARCH CUSTOMIZATION
Setting Up "Virtual Catalogs"
A new "virtual catalogs" feature in the Interface Display section of the
FirstSearch administrative module allows libraries to set up persistent
cross-database searching. FirstSearch administrators can combine WorldCat plus
one or two other FirstSearch databases so that they appear as one database in
the interface. Once a virtual catalog is set up in this way, the FirstSearch
administrator can give it a name of her choice. For example, a library might
combine WorldCat, Books in Print, and Book Review Digest and call the combined
database "Books."

OCLC ILL LIBRARY POLICIES DIRECTORY RELEASED
The OCLC ILL Library Policies and Technology Directory is now available for use.
The Policies Directory can be accessed from ILL Web at <http://illweb.oclc.org>.
From ILL Web, click the Policies Directory link located in the top black menu
bar on every ILL Web screen. OCLC ILL Users are now welcome to enter policies,
contacts and site information. OCLC ILLiad users will have direct access from
the ILLiad client in the March release of version 6.2. The Policies Directory
cannot be accessed from Passport.
More information is located at <http://www.oclc.org/oclc/ill/illpolicies.htm>
including a new reference card called "Getting Started with the ILL Library
Policies and Technology Directory." Many of you may have received this in the
mail.
The ILL Policies Directory will provide users of OCLC ILL with a central source
for ILL policies, contacts, billing, and system information. The Directory will
improve upon the NAD by providing improved delivery of formatted information as
well as providing new and relevant policy information to our members. The
Directory is available in a Web environment and offers screen tips and online
help for users entering information about their institutions, their collections,
and their lending policies.
The OCLC ILL Policies Directory features an Advanced Searching capability. This
functionality includes such features as searching by group, network, geographic
location, supplier status, delivery method, support for rush deliveries, and
more.
The Policies Directory will replace the NAD for ILL use only approximately six
months from now. The ILL policies fields in NAD will be retired in third quarter
of 2003. No information will be migrated from NAD to the Policies Directory.
Basic institution information will be provided for every member library which
means there is a high-level record available for every member library. Policies,
contacts, and additional site information will need to be added by ILL users.
Product ordering that relies on the NAD for address information will remain in
the NAD until migrated to other OCLC sources.

CATEXPRESS MONTHLY TRANSACTION REPORTS
Are you wondering how many titles you have left in your CatExpress subscription?
Do you need accurate statistics on your cataloging activity? The OCLC CatExpress
Monthly Transaction Reports have what you need.
Every month OCLC mounts Monthly Transaction Reports detailing your library's
CatExpress cataloging activity on the Product Services Web. The Reports list
transactions for the current month's activity and year-to-date activity.
Year-to-date activity is for the current subscription year - July 1, 2002-June
30, 2003. Reports remain available for 90 days. There is no extra cost to access
the Reports. They are included as part of your CatExpress subscription.
Why do you need to know how much of your CatExpress subscription you have used?
Libraries who exceed their subscription limit may be charged $.82 for each
record over the limit. If you monitor your usage and don't go over your
subscription limit, you can avoid having to pay any extra charges at the end of
the subscription year.

OCLC CONNEXION CLIENT PREVIEW UPDATED
The client interface to OCLC Connexion is coming in June! OCLC has updated the
client preview document on the Connexion Web site at <http://www.oclc.org/connexion/features/client/>
to include additional information and new screen shots. You can view the
information on the Web site, or you can select the printer friendly PDF version
for easy printing.

OCLC CONNEXION MIGRATION TIPS
Are you still using Passport for cataloging? Are you trying to decide if you
should migrate to the Connexion browser, CatME, or wait for the Connexion
client?
We have added some migration tips to the Web site at <http://www.oclc.org/connexion/migrate/tips.shtm>.
This includes information comparing Connexion browser, CatME, and Connexion
client on functionality such as macros, export, NACO, keyboard and mouse use,
and label printing.

OCLC CONNEXION MONTHLY MAINTENANCE INSTALLATIONS
OCLC completes monthly maintenance and quarterly enhancement installs for OCLC
Connexion. Monthly installs generally include minor enhancements that do not
affect documentation or training, as well as some problem fixes. Monthly
installs in March, June, September, and December coincide with quarterly updates
to the WebDewey and Abridged WebDewey databases.
JANUARY INSTALLATION
The OCLC Connexion January install on Sunday January 19, 2003 was successful.
This installation included a Pathfinders Constant Data fix and the elimination
of Connexion support for Netscape 4.x and 6.01.
Pathfinders Constant Data Fix
A pathfinders constant data fix was added. When creating a constant data record
from a pathfinder, no confirmation message was generated. You will now get a
confirmation message.
End of Connexion Support for Netscape 4.x and 6.01
OCLC ended Connexion support for Netscape 4.x and 6.01 on January 19, 2003.
Connexion users, including CatExpress and WebDewey users, are no longer able to
log on using Netscape 4.x or 6.01.
Ending support of Netscape 4.x and 6.01 will enable quicker development of
enhancements to the Connexion service because additional programming has often
been necessary to support these older versions of Netscape. Since special coding
to accommodate Netscape 4.x and 6.01 will no longer be needed, OCLC will be able
to add new and better features to the system. In addition, ending support of
Netscape 4.x and 6.01 will eliminate the system problems that users often
experience when using one of these older versions of Netscape.
If you are accessing Connexion via one of these older version browsers, please
upgrade to a higher version as soon as possible. For maximum functionality
within OCLC Connexion, upgrade to Internet Explorer 5.5 or 6.0. After January
19, 2003, Connexion will continue to support Internet Explorer 5.0 and above, as
well as Netscape 6.1 and above.

FEBRUARY INSTALLATION
On Sunday, February 16th, several enhancements to OCLC Connexion were installed.
Here are the highlights from these enhancements:
- Record Display changes (Cataloging and Authorities) that will give you more
flexibility in how the record will appear, improve record navigation, and
provide a clearer presentation of the data.
- A new Record ID area will display as the first line of the record
- Name of database and title or heading of record will appear at the top of the
record display
- Fixed fields can be displayed at the top or bottom
- Entered and Replaced dates will appear in the fixed field area
- Authorities now has the option to open records in display or edit mode for
single hits
- New up/down arrows for easier navigation
- MARC Help will appear at the top and bottom of records
- The 006 field will remain a mnemonic display in Display view, instead of
reformatting to a MARC tag
- Diacritics enhancements that will provide for more consistent entry into
local systems and make it no longer necessary to use bar syntax.
Diacritics Entry Method Changes
- OCLC Connexion browser users must now enter diacritics following the character
they modify instead of preceding the character. This change conforms to Unicode
standards and brings OCLC's handling of diacritics more in line with worldwide
practice. **NOTE** There is no change to the entry of diacritics in Passport or
CatME. No changes are required for record export; records are exported in the
same format as they have been in the past.
- You continue to have the option to enter diacritics using bar syntax, copy and
paste, or a Unicode-enabled keyboard as you do now. Display of bar syntax when
in edit view is optional. You may select the option to display bar syntax on the
Interface Customization Options screen.
- If you use Internet Explorer, you may enter diacritics by selecting the
characters from a pop-up window. Place your cursor following the character to be
modified. Press F7 to display the window. (Windows only: not supported by
Macintosh versions of IE.) Select the appropriate diacritic. The diacritic is
inserted where the cursor is placed in the record. This is very similar to the
character selection box used in Passport and CatME.
Ligatures and Script L
Previously reported problems with ligatures and script L are corrected with this
install. Please note that ligatures may display differently in various OCLC
services.
Diacritics and Searching WorldCat
You may now search WorldCat with or without the diacritic in your search key.
Previously, you had to search without the diacritic when searching WorldCat. No
changes were made to indexing; including the diacritic in your search key does
not make the search more precise.
- Constant Data (CD) enhancements that will provide you with more flexibility
and functionality for cataloging in all formats.
- Current Constant Data is changed to Default Constant Data and saved to the CD
database
- Applying constant data "on the fly" expanded to authorities, pathfinders, and
digital archives
- My Status added for constant data
- Default Constant Data can now be applied to multiple flagged records in the
save file
- Constant data can now be automatically added to records created using the
multiple record creation routine
**Important** If you wanted your Current CD record to become your Default CD,
you needed to set this saved CD record as your Default CD. If you did not save
your Current CD before February 16, 2003, you will need to recreate this
constant data record first before you can set it as your Default CD.
- Controlling Heading enhancements will make controlling headings and Dewey
numbers faster and more efficient. Controlled headings are automatically updated
as associated authority records change, improving the quality of WorldCat.
- Affects 6XX fields with indicators 0 and 4
- Automatically searches headings against authority files and identifies
matching authority records.
- Automatically inserts a controlled heading if the heading in the bibliographic
record can be fully controlled to either a single or multiple authority record(s),
and requires no changes to tag, indicators, or text.
- Updated Preferences enhancements that will revise all Options screens to make
your setup process smoother and more understandable. The terminology has been
updated to conform to Connexion terminology guidelines.
For more details about these enhancements, as well as information about previous
Connexion enhancements, log on to Connexion and search Connexion News. A link to
News appears on the Welcome screen. To list enhancements, choose the category
"System Updates" on the News search screen.

Updated Help was included in the releases of OCLC Connexion installed in January
and February 2003.
Click Help on the header bar of any Connexion screen to view context-specific

WINDOWS 98 AND NT SUPPORT TO
END JUNE 30, 2003
OCLC will discontinue support for Windows 98 and NT 4.0 on June 30, 2003,
at the same time that Microsoft discontinues support. OCLC expects that
applications will continue to work; however, no testing will be completed
and no support will be offered for Windows 98 and NT 4.0 after this date.
The OCLC Access Suite Applications System Requirements document on the
OCLC Web site at <http://www.oclc.org/oclc/menu/suite/systemrequirements.htm>
has been updated to reflect this change.
