OCLC PRODUCT OF THE
MONTH : UNION LIST SERVICE
INCREASE PRODUCTIVITY AND LOWER BORROWING COSTS
BY SHARING RESOURCES
The OCLC Union List (UL) service multiplies your library's resources and lowers
borrowing costs by helping you develop cooperative collections and use shared
online holdings information to locate potential borrowers. OCLC offers online
access to CONSER bibliographic records, the National Serials Data program, the
U.S. Newspaper Program, 220 union list groups, and WorldCat (the OCLC Online
Union Catalog) with over 7.6 million Local Data Records (LDRs). OCLC offers
offline access to the same serials holdings information through the Serials
Union List Offline Products service.
Who Creates Union Lists?
Any library group can easily set up and maintain a national, state, regional, or
topical (law, medical, theological, etc.) union list. OCLC members use OCLC
Union List to enter holdings for serial and non-serial items as follows:
Nonmember institutions can have their local data records input and maintained by
outside agents.
What Information Is Shared?
OCLC Union List contains Local Data Records (LDRs) consisting of a bibliographic
description and at least one library's holdings for an item. Each library/inputting agent
can create, view, and edit its own or a client's LDRs. From individual LDRs,
OCLC compiles group and institution displays, which are used to locate specific
items and parts.
Local Data Record Updating Service
The OCLC LDR Updating Service enables libraries to add or update copy-specific
holdings data in OCLC's WorldCat Union List database through batch processing.
The service is provided at no charge for the current fiscal year ending on June
30, 2003.
Offline OCLC Union Lists
OCLC also offers offline access to serials holdings information through the
Serials Union List Offline Products (SULOP) service. Offline products give you
the same up-to-date information on group holdings as online union lists. You can
purchase customized lists of serials information in many formats:
OCLC Union List Strategic Report
The OCLC Union List Strategic Report gives you a jump start on entering union
list holdings data by providing a list of serial titles requested from your
library via interlibrary loan within the last 18 months. With this report in
hand, you can prioritize which serial titles you should add union list holdings
data to first.
This FREE report is a comma-delimited file that you can import into your
favorite spreadsheet or database program.

REPORT FROM OCLC MEMBERS COUNCIL MEETING
Presentations, minutes and a web cast of a portion of the May Members Council

During the three-day meeting, Council elected Larry Alford and Ian Mowat to the
OCLC Board of Trustees and ratified amendments to OCLC's governance structure to
facilitate broader participation in its cooperative by more libraries and

JULY 2002 ENHANCEMENTS
WORLDCAT
Additional Fields Displayed in Vernacular
The following fields will be added to those now displayed in the language in
which items were originally cataloged: Identifier (653/a), Geographic (651/avxyz),
Named Corporation (610/abcdefgklmnoprstuvxyz), Conference Author (111/acdefgklnpqtu,
711/acdefgklnpqtux).
Modification to Indexes in Advanced Search
The drop-down list of indexes available in WorldCat Advanced Search mode is now
grouped into logical categories; for example, all author-related indexes appear
together in the list.
In response to requests from users, two additional indexes have been added to
this list: "Musical Composition" and "ISSN" (under Standard number).
Additional "More Like This" Options
The "More Like This" option, which allows a user to launch a search to find more
items with the same title and author, now offers additional options for
customizing the search. By clicking on the "Advanced Options" link in the "More
Like This" field in the Brief or Detailed Record display, the searcher may use
checkboxes to select from many more elements of the record to match on,
including Publisher, Language, Material Type, Document Type, Subjects, and Class
Description. The user may also combine choices using Boolean operators. This is
a powerful and efficient way for users to extend successful searches in
WorldCat.
FIRSTSEARCH CONTENT
New Electronic Collections Online Journals
Sixty-two new journals from thirteen publishers have been added to OCLC
FirstSearch Electronic Collections Online. The new titles and their ISSNs are
available at <http://www2.oclc.org/oclc/fseco/index.asp>.
Thesaurus Now Available in MLA International Bibliography
Users of the MLA International Bibliography database are now able to search the
MLA Bibliography Thesaurus. As in the thesauri and subject heading files
available in other FirstSearch databases, users access the MLA Thesaurus by
clicking the Subjects icon on the basic, advanced, or expert search screen, then
typing in a word or concept. The MLA Thesaurus supplies preferred term(s) for
the search concept, along with broader and narrower terms, that may be expanded.
Clicking a hotlinked term automatically launches a search.
FIRSTSEARCH FUNCTIONALITY
Simplified Chinese User Interface and Administrative Module Interface
The FirstSearch User Interface and Administrative Module Interface are now
available in Simplified Chinese, in addition to the Japanese and Chinese
(Traditional) interfaces that have been available since earlier this year. To
optimally view the Asian language interfaces, users must have Microsoft Internet
Explorer version 5.0 or above, or Netscape version 6.0 or above loaded on their
computers. Although the use of a Japanese or Chinese operating system is not
required, some interface display features (tool tips, title displays and alerts)
may not display properly without the appropriate operating system. Characters in
the Chinese and Japanese interfaces are displayed using Unicode (UTF-8
encoding). To view the interface with the intended character set, download and
install a Unicode font such as Arial Unicode MS from <http://office.microsoft.com/downloads/2000/aruniupd.aspx>.

OCLC ADDS ENHANCEMENTS TO INTERLIBRARY LOAN
OCLC has made the following changes to the ILL Web and Passport ILL interfaces
as of July 14, 2002:
1. When the ILL Web interface was released last September, we included
pre-programmed access keys that activated various links on the web pages. For
example, from any screen, <Alt><2> would take the 'focus' to the Search & Create
tab and then you would hit <Enter> to display the Basic Search screen. The new
enhancement includes an automatic <Enter> which activates the choice
immediately. For more information on the various keystrokes available, see the
Local Browser Settings (on the logon screen), item #21.
2. In June we announced that any ILL records created from a WorldCat record in
the ILL Web interface would include the bibliographic record's format
information in the Verified field in addition to the existing bib information
that is mapped to ILL fields. This month we have added the enhancement to ILL
records created in the Passport interface. ALL OCLC ILL records created from
WorldCat records will now include the format data in the Verified field.
Lenders will be able to immediately respond No or Conditional to requested items
based on their format. Electronic books and serials will be easily identified.

OCLC ILL Web Interface Managers
OCLC RESOURCE SHARING AND PASSPORT
Heard any good Passport rumors lately?
Passport for Resource Sharing is not going away any time soon. In order for OCLC
Resource Sharing to end its support for Passport we need to provide appropriate
alternatives for ILL, for the Name-Address Directory (NAD) and for Union
Listing. We have a great ILL web interface <http://illweb.oclc.org>
and we are improving it to meet the needs of power users. It's not ready yet to
replace Passport for production-oriented offices. The upcoming Policies
Directory will be a total replacement for the NAD and we will be disabling NAD
for ILL at some point in 2003. We do not yet have a schedule for a web interface
for Union Listing.
Until we have all those alternatives in place-ILL
web, Policies Directory and Union Listing-we
will not end support for Passport for Resource Sharing. ILL ME doesn't use
Passport so end of support for Passport does not effect ILL ME.
As another way of keeping up-to-date on OCLC Resource Sharing plans you might
want to check out our updates to the ALA RUSA MOUSS ILL Committee. Those updates
are always posted to the ALA site in connection with ALA and Midwinter. Here's a

Will we eventually end support for Passport for Resource Sharing? Yes,
eventually, but there is no date set-it

OCLC CONNEXION: CATALOGING AFTER OCLC PASSPORT
Visit the OCLC Web site or attend an OCLC conference presentation and there is
no avoiding the phrase, "extending the cooperative." As part of its global
strategy to transform the current library cooperative into a global digital
community, OCLC will extend the content and scope of its WorldCat database and
broaden the collective to include new participants and contributors, such as
museums, archives, and publishers.
WorldCat will move beyond a bibliographic database to contain resources in all
forms-text, graphic, sound, and motion. OCLC will automate new tools for
capturing, creating, and managing metadata to improve productivity. This will
require OCLC to replace its current data processing infrastructure with new,
state-of-the-art systems built on open systems architectures that abide by
international standards and promote information sharing. To that end, OCLC is
planning to migrate from the current cataloging service and interfaces to a
single system that takes advantage of the latest Web technology. For the latest

Please note that the following discussion relates only to OCLC Cataloging. There
is currently no time frame to discontinue Passport for ILL, the Name-Address
Directory or Union Listing.
The new cataloging service, called OCLC Connexion, combines the most useful
features of OCLC's Web browser-based systems such as CORC and Windows-based
interfaces such as CatME. First released in July 2002, OCLC Connexion provides
general cataloging functionality for all types of library materials. The system
will be enhanced in a later release with an optional Windows-based tool set
providing advanced functionality.
The first release includes the following capabilities:
OCLC CONNEXION LABEL ENHANCEMENTS
The OCLC Connexion August 2002 installation was successful on August 25, 2002
and included Label Printing for Cataloging along with various other
enhancements. (See the separate N3 article for details about
the other enhancements.)
Label printing will allow you to generate labels from the Cataloging tab using
the OCLC Cataloging Label Program. You will be able to generate a single label
from bibliographic records. The system will automatically launch the Label
Program (if it is already installed and if it is not already open) and will
display the label for you to edit, print, or save to the Label Program file. For
single label creation, the View Label in Label Program command will be an entry
on the Action menu for bibliographic records in edit mode for records retrieved
from the WorldCat or the bibliographic save file. The command will only be
available for the MARC Template and MARC Text Area views; it will not be
available in Dublin Core views. You will be able to assign the View Label in
Label Program command to a keystroke.
A Connexion version of the OCLC Cataloging Label Program (version 1.22) will be
used to print labels. The first time you select the View Label in Label Program
action using an authorization number, a warning message will display indicating
that the Label Program is needed for printing labels. This warning message will
appear only one time per authorization, even if you share the authorization with
several persons. The message will read: OCLC Connexion uses the OCLC Cataloging
Label Program for printing labels. You need to have Label Program 1.22 installed
on your workstation to print labels with Connexion. The OCLC Cataloging Label
Program is available for download from the OCLC web site at: <http://www.oclc.org/oclc/menu/label.htm>.
Label Program 1.22 will be made available for download from the OCLC Access
Suite download site. Label Program 1.22 will be available for electronic
download only; it will not be available on compact disc.
In addition, Cataloging users will be able to flag records in the bibliographic
save file to generate a label file. You will be prompted to save the file to
your computer, and then you can import it into the Label Program as can be done
with label files generated from Passport, CatME, etc. You do not need to have
the Label Program installed to generate label files in this manner. You can
create a label file on a workstation by flagging records in the Connexion
bibliographic save file without the Label Program and then move the file to
another workstation for printing.
Go to General/Admin Options/Preferences/Cataloging options to select a default
label format of SL4, SL6, SLB, or SP1. The format specified is used for viewing
a single label. However, you create a file of labels by flagging records in the
bibliographic save file, the labels will be created in the SL4 format even if a
different format is set in preferences. You can import the SL4 file into the
Label Program and change the labels to the desired format in the Label Program.
An action status of Completed will be set for records pulled from WorldCat or
from the bibliographic save file when a label display is successfully created.
The status will be set to Failed if a label cannot be created. The status will
work if you are creating a file of records for label printing or printing labels
one by one. For bibliographic save file records, the status will only be set on
records that are added to the save file after the label functionality is
installed in Connexion. Records already in the save file will not have a label
status set for them.
The Label Program allows you to print multiple copies of labels and add print
constants and volume numbers to labels. You can save labels to the Label Program
file to print groups of labels in batch. Batch printing is especially useful
when printing to laser stock. The Label Program allows you to print to pin feed
or laser stock.
OCLC expects to add single label printing to CatExpress in September 2002. More
information on CatExpress will be announced in September 2002.

Cataloging and Metadata Services
OCLC CONNEXION MONTHLY MAINTENANCE INSTALLATIONS
OCLC plans to do monthly maintenance and quarterly enhancement installs for OCLC
Connexion. The monthly installs include minor enhancements that do not affect
documentation or training, as well as some problem fixes.
JULY INSTALLATION
The OCLC Connexion July maintenance installation was successful on Sunday, July
28, 2002. Changes include revised or additional confirmation messages,
additional or revised Actions or Function dropdowns, as well as fixes such as
the ability to resave records in the Save File, tabbing through Fixed Field
elements, and reinstallation of the Extraction Shortcuts.

OCLC has added three new vendors who are now active participants in the OCLC
PromptCat service.
